Practical 2026 guide to Business Manager visa renewal in Japan: operating evidence, finances, reform compliance, taxes, insurance, and filing steps explained.

To complete a Business Manager visa renewal in Japan, you must show that you continue to perform qualifying management or administrative activities and that sufficient grounds exist for extending your period of stay. Depending on your organization category, a well-prepared 2026 application should connect your activities since the previous grant with the supporting business, financial, staffing, tax, and insurance records required for your case.

Business Manager is officially (keiei kanri), covering activities in Japan to manage trade or another business or to engage in the administration of that business. It excludes management or administration of a business that legally may be performed only by persons holding qualifications covered by the Legal/Accounting Services status. The search term (keiei kanri biza kōshin) refers to renewing this status without changing to another status of residence.

What Immigration examines at renewal

Renewal is not simply an extension based on the company’s continued registration. The applicant must intend to continue the activities permitted under the current status, and Immigration must find sufficient grounds to consider renewal appropriate under the official renewal standard.

The Business Manager application page organizes renewal documents by organization category. After proving their category, Category 1 and Category 2 organizations generally do not need the additional materials. For categories requiring additional documents, the list includes recent financial statements, corporate registration where applicable, an explanation of management activities, tax records, and evidence concerning the fulfillment of applicable taxes and public dues. The documents should tell one consistent story: the company exists, conducts business, and is actually managed by the applicant.

Prepare the application as a report on what happened since your last grant, not as a repeat of the original business plan.

Proving continuous, substantial management activity

For organization categories requiring additional renewal materials, the official list includes a document, in any format, that concretely explains your business management or administrative activities during the most recent period of stay. If anything changed since the previous residence application, the document should also explain the reason.

Create a clear chronology covering the granted period. Describe your responsibilities, major business decisions, supervision of staff, work with customers and suppliers, financial oversight, licensing work, and changes to products, services, or operating methods.

Support the narrative with records that match it. Useful supplementary evidence can include contracts, invoices, business bank records, meeting records, payroll materials, correspondence, and dated evidence of commercial activity; Immigration may request additional documents not shown on the standard list.

Your explanation should focus on management rather than passive ownership. If there was a pause, reduced activity, a change of office, or a revised business model, state when it happened, why it happened, and what you did in response.

Financial evidence that the business is operating

For relevant organization categories, the renewal documents include the latest fiscal-year financial statements and, for a corporation, a copy of its corporate registration. The additional materials also include evidence of required business licenses or permits where the activity needs them.

Financial statements are central to cases in which they are required because they show whether the company has assets, liabilities, revenue, expenses, and an ongoing financial position. However, accounts alone may not explain unusual results, so connect them to the activity statement and supporting operational records.

Check that sales figures, payroll, tax filings, bank activity, staffing claims, and your written explanation do not contradict each other. If the latest accounts show little activity, explain the commercial circumstances and provide evidence of current or resumed operations rather than leaving Immigration to infer that the company is dormant.

Post-reform renewal materials

The ministerial ordinance standards and enforcement regulations for Business Manager status were amended with effect from October 16, 2025. For a 2026 renewal, use the current renewal checklist and identify the supporting materials applicable to your organization category.

For categories requiring additional renewal materials, the current list includes documents showing that there is at least one full-time employee, including wage-payment evidence, residence records, and other relevant materials. It also includes evidence concerning Japanese-language ability held by the manager or a full-time employee.

Premises documents such as a property registry or lease are expressly listed for initial and change applications, but they are not shown as universal attachments in the displayed renewal list. Immigration may nevertheless request materials not listed on the page during its review, so submit additional premises evidence if requested for your case.

Premises evidence is not shown as a universal attachment on the displayed renewal list. Follow the current checklist for your category and provide any additional documents requested during examination.

Tax and social insurance payment history

For organization categories requiring additional renewal materials, the list includes the applicant’s resident-tax assessment—or non-assessment—and payment certificates showing total annual income and payment status. These certificates are issued by the municipality where the applicant lived on January 1. If they cannot be issued because of recent arrival or relocation, contact the nearest regional immigration office.

For a corporate organization, the applicable additional materials cover labor-insurance and social-insurance enrollment and payment records. They also identify certificates concerning withholding income tax and special reconstruction income tax, corporate tax, consumption taxes, corporate inhabitant taxes, and enterprise tax.

For an individually operated organization, the requested package may include labor insurance, social insurance, National Health Insurance, income-related national taxes, consumption taxes, individual inhabitant tax, and individual enterprise tax. Where a sole proprietor is not legally required to enroll as a compulsory social-insurance workplace, explanatory evidence should be submitted.

The displayed general list identifies the applicant’s resident-tax certificates among the additional materials but does not separately identify a standard personal social-insurance certificate for every applicant. Keep personal health-insurance and pension records organized in case they are requested, and use the current checklist applicable to your organization category.

Resolve missing filings, unpaid amounts, or inconsistencies before submission where possible. If a record needs explanation, provide dates, supporting documents, and a direct account of the circumstances rather than omitting the issue.

If the business is inactive or unprofitable

The official sources do not say that a financial loss automatically results in refusal. A loss-making business must nevertheless show continued qualifying activity, actual operation, and sufficient grounds for renewal through its accounts and management narrative where those materials are required.

Explain the cause of the loss, management measures already taken, current contracts or activity, and how the company continues to operate. A dormant company presents a more fundamental problem because Business Manager status is based on carrying out management or administrative activities; the ISA warns that a person who is not conducting the activities of the original status may face status revocation.

Do not describe an inactive company as active. If operations stopped, disclose the timeline and provide credible evidence of any restart; if qualifying activity cannot continue, renewal may not match the purpose of the procedure.

Step-by-step renewal checklist

  1. Confirm the current organization category. The category determines which supporting documents are required and which may normally be omitted.

  2. Download the current renewal checklist and form. For applications from April 15, 2026, Category 3 or Category 4 cases require an additional declaration concerning the organization’s representative when the applicant engages in business administration.

  3. Prepare any required activity statement. If it applies to your category, cover the complete period since the previous application, including changes and their reasons.

  4. Collect the required business records. Depending on your category, these may include the latest financial statements, corporate registration, relevant licenses, staffing evidence, and Japanese-language ability evidence.

  5. Review the current post-reform checklist. Confirm whether full-time-employee evidence, Japanese-language ability evidence, or other additional materials apply to your category. Capital and premises documents are not shown as universal attachments in the displayed renewal list.

  6. Obtain applicable tax and insurance evidence. For categories requiring the additional materials, collect the applicant’s resident-tax certificates and the organization’s applicable tax, labor-insurance, social-insurance, and other public-dues records.

  7. Check document format and freshness. Certificates issued in Japan generally must have been issued within three months, and foreign-language documents require Japanese translations except where the stated exceptions apply.

For a current period of stay lasting at least six months, filing is generally available from about three months before expiration and must occur before the expiry date. Applications go to the regional immigration office responsible for the applicant’s residence, and online renewal is also available.

If approved, the fee is ¥6,000 for a standard application or ¥5,500 for an online application, paid using a revenue stamp. The stated standard processing period is two weeks to one month, although a complete and internally consistent file is important because missing documents can cause significant delay or an adverse decision.
